Minutes of reunion
committee.
1.

The passing of Bede
Dowling was observed by 2 minutes silence.
4.
Minutes:
Minutes of the
meeting held on 19 January 2009 were confirmed.
5.
Matters arising from last Minutes
Dick O’Connell
advised that he had a Marist School Cap (Secondary Version).
6.
Agenda
$3,587.32 in bank.
There were 6 unpaid invoices for registrations but one of these meeds to
be withdrawn as the pupil has advised he is not attending. As for the
food invoices only 7 had been paid at the time of the meeting.
31 Pupils have
registered plus15 spouse/partners .All have paid registration deposits.
At the time of the
meeting 26 pupils and 11 spouses/partners have paid up for meals. It was
known that further payments were in transit and there was no reason not
to expect that the payments from remaining 5 pupils and 4 partners would
not be in the bank within the next few days. A further follow up would
be made to ensure payments plus completion of the response forms
Based on the
confirmation of 31 pupils plus 15 spouse /partners it was agreed that
proceeding with the reunion was viable.
The Chairman advised
that the sponsorship from the National Bank had been reviewed by the
Bank and reduced. Meridian Energy Real Journeys and had agreed to
provide significant sponsorship by way of Meridian forgoing fees and
providing the extra tunnel transport and Real Journeys providing
discount and fixed cost bus travel. Invercargill Breweries was also
providing product. It was agreed that a letter should of thanks should
go immediately to all of the parties providing sponsorship and Kevin
agreed that he would do this.
An email had been
received from Allan Campbell confirming that Clearfiles for the
Information Pack plus nametag holders had been purchased. Allan
requested funds amounting to $71.83 to cover the cost of the folders and
tags plus card for the name tags. This was agreed to. Regarding the cost
of printing Kevin Dell indicated that he would arrange the copying if
Allan provides the pages for the Information Packs.
Tony budgeted the
food and associated costs at $5000.00.
The ladies committee
proposed that a small gift be provided to each partner and this was
agreed to.
The matter of the T
Shirts was then discussed and Peter MacNamara was thanked for his
investigation of this. However in the light of the National Bank
reduction in sponsorship for Transport the Committee felt that it could
not commit to the provision of T shirts and should instead use the funds
to make up the shortfall on the transport costs. Similarly the idea of a
pen memento was not taken further. The opportunity still exists for the
proposed T shirts to be organized on a paid basis if participants
required.
In the light of the
funding issue it was also agreed that the proposal to engage an
entertainer for the Saturday Night would be flagged.
A discussion was
then held on the matter of the Bus Travel and it was agreed that the
Invercargill Passenger Service option based on one 46 seat plus driver
bus for the whole period was the best option and should be confirmed by
Peter MacNamara on that basis. It was noted that an allowance needs to
be made for the drivers accommodation and meals which are at our cost.
Peter Robinson was
requested to advise the Kelvin and Waiau Hotels of the numbers that
would be present.
Bob will contact
Real Journeys and discuss further the discounting options and confirm
numbers for the Ladies programme on the Saturday and the Sunday
programme noting the intention is to use the Invercargill Passenger
Service Bus for travel to the start points of the Real Journeys
attractions.
Programme
Friday
Assemble at Kelvin Hotel Invercargill at 2pm
for drink and snack (cost $8 per head) leave Kelvin by coach at 3pm for
Tuatapere.
Arrive Waiau Hotel Tuatapere 4.30 pm for
drinks and evening meal (meal 5.30 pm cost $20per head). Leave Waiau
Hotel by coach 6.45pm for Borland Lodge.
Arrive Borland Lodge 8 pm where Manager Paul
Brown will explain about the facilities and other matters of necessity.
Saturday
Breakfast cooked or continental self serve
7.30 am -8.30 am.
Women leave by coach at 9.30 am for- a day
trip to be organized by Anne Marie Robinson Pay as you go.
Men remain at Borland Lodge spending day
reminiscing plus some sporting events such as Cricket, Archery and
Kayaking etc. Light lunch self serve provided.
Evening meal provided at Borland Lodge
followed by entertainment.
Sunday
7.30 am Church Service
Breakfast cooked or continental self serve 8
am - 9 am.
9.30 am all leave by bus for Manapouri for
boat trip to West Arm and Power Station visit.- cost $63 per head plus
lunch extra at $14 per head.
5.30 return to Borland Lodge for BBQ Tea.
Those leaving on Sunday need to pay for
their Accommodation etc to the Lodge Manager prior to departure -
-NB no EFTPOS cash,
cheque or credit card.
Monday
Breakfast cooked or continental self serve
7.30am - 8.30am.
Clean up facilities.
Pay Camp Manager for facilities use.
Bus leaves for Invercargill 9.30am arrive
11.30am.

Opening
Proceedings
Kevin Dell to follow
up the possibility of Tim Shadbolt opening proceedings at the Kelvin
Hotel.

Peter Robinson will supply these.

Tony to provide copies of poems for
distribution to reunion attendees.
10.
Next
Meeting
The meeting will deal with-
- confirmation that bookings are OK;
- allocation of rooms,
- allocation of organizational duties;
- the preparation of information packs.
11.
General
Business
It was noted again that along with tea
towels, dish-clothes, and cleaning fluids that beer, wine and spirit
glasses etc would need to be provided by the Organizing Committee.
Peter Robinson
advised that he had secured a Donation of cider from Nallys Invercargill
Brewery. This will be made available on the bus trips. There also may
have some sponsorship from the ILT at the Kelvin assembly.
Anne Maree Robinson
has organized the provision of table-cloths and candles for tables plus
decorations for the Saturday formal meal

Next and final meeting 7 pm Thursday 12 February 2009 at Tony McGowan’s
office.
