MINUTES OF MEETING HELD 19 January 2009

 

Class of 57 Class Reunion


Minutes of reunion committee.
 

1.     Present:

Bob McLean (Chair), Ewen Chamberlain, Kevin Dell, Peter Enright, Dick O’Connell, Peter MacNamara, Peter Robinson, Kevin Scully and Tony McGowan.

2.     Apologies:

3.     Minutes:

Minutes of the meeting held on 6 December 2008 were confirmed subject to correction of the number of T Shirts being corrected to read 60.

4.      Matters arising from last Minutes

Nil

5.      Agenda

    Financial report

$3,587.32 in bank. There were 6 unpaid invoices for registrations but one of these needs to be withdrawn as the pupil has advised he is not attending. As for the food invoices only 7 had been paid at the time of the meeting.

    Registrations

30 Pupils have registered plus17 spouse/partners.  A further 5 pupils have said yes plus one further spouses/partners but not formally responded. A follow up is to be made with these further 5 pupils

Immediate payment of the food invoice that has been sent to all who have registered is essential. This is for costs that the Committee is directly responsible for and also serves as confirmation of those who are attending. Receipt of this payment is essential by the 31 of January 2009 and will allow us to determine actual numbers, and thus confirm bookings, discounts and other arrangements etc.

It was concerning that the payment response to the food invoices to date was very low. As receipt of this payment was a determinant of the Committees ability to incur commitments as well as to provide viable options to caterers and other business it was agreed that a further immediate letter would be sent explaining this. Also it is understood that Jim Hair will be phoning the out of town people. It was resolved that the food payment would be required to be paid by 31 January 2009 and, the Committee would make appropriate decisions based on the outcome of this.

There was some concern that the notes accompanying the food invoice were not clear enough. It needs to be made clear that the food payment was for meals at Borland Lodge only and that other costs that attendees will need to pay directly them selves are:-

  • $110 for three days accommodation per person;
     

  • $77.50 per person for the Sunday optional trip including lunch;
     

  • $20 per person for tea Friday night;
     

  • $8 for snack during registration at Kelvin Hotel;
     

  • Plus the ladies need to pay as they go for lunch and Glow worms trip etc on Saturday.

Also questions have been asked about alcohol drinks. The position is that the Committee will ensure a supply of beer and wine and soft drinks at Borland Lodge that can be purchased at cost on a cash only basis.

If participants require spirits they will need to bring their own.

It was agreed that the above information should form part of the letter to go out regarding the food payment plus incorporated in the information brochure being prepared.

In addition a Questionnaire is to accompany the letter requesting by 31 January,  arrival locations, arrival and departure times, pickup and parking requirements, confirmation if wanting to go on the Sunday trip, any special requirements for sleeping accommodation plus notice of any medical conditions that might need to be passed on in the event of a medical emergency. Also required is confirmation of partners name for purposes of name-tags.

        Programme

Friday

Assemble at Kelvin Hotel Invercargill at 2pm for drink and snack (cost $8 per head) leave Kelvin by coach at 3pm for Tuatapere.

Arrive Waiau Hotel Tuatapere 4.30 pm for drinks and evening meal (meal 5.30 pm cost $20per head). Leave Waiau Hotel by coach 6.45pm for Borland Lodge.

Arrive Borland Lodge 8 pm where Manager Paul Brown will explain about the facilities and other matters of necessity.

Saturday

Breakfast cooked or continental self serve 7.30 am -8.30 am.

Women leave by coach at 9.30 am for- a day trip to be organized by Ann Maree Robinson Pay as you go.

Men remain at Borland Lodge spending day reminiscing plus some sporting events such as Cricket, Archery and Kayaking etc. Light lunch self serve provided.

Evening meal provided at Borland Lodge  - happy hour 6.30pm - meal 7.30pm followed by entertainment.

Sunday

7.30 am Church Service

Breakfast cooked or continental self serve 8 am - 9 am.

9.30 am all leave by bus for Manapouri for boat trip to West Arm and Power Station visit.- cost $63 per head plus lunch extra at $14.50 per head.

5.30 return to Borland Lodge for BBQ Tea.

Those leaving on Sunday need to pay for their Accommodation etc to the Lodge Manager prior to departure - cash, cheque or credit card - NB No EFTPOS

Monday

Breakfast cooked or continental self serve 7.30am - 8.30am.

Clean up facilities.

Pay Camp Manager for facilities use.

Bus leaves for Invercargill 9.30am arrive 11.30am.
 

6.      Opening Proceedings

Kevin Dell to follow up the possibility of Tim Shadbolt opening proceedings at the Kelvin Hotel.

7.      Music Sheets

Peter Robinson will supply these.

8.      Banjo Patterson Poems

Tony to provide copies of poems for distribution to reunion attendees.

9.      Reunion T Shirts

It was agreed that the ordering of 60 T shirts would be delayed until after the 31 January. This was acceptable to the Supplier

10.      February Meeting

The meeting will deal with:

  • confirmation of bookings

  • allocation of rooms

  • allocation of organizational duties

  • preparation of Information Packs

11.      Marist School Cap

PLEASE Still have not been able to establish the existence of a school cap. Reminder to any one with a school cap or knowing of the whereabouts of one is asked to get in touch with the Organizing Committee.

12.      General Business

It was noted again that along with tea towels, dish-clothes, and cleaning fluids that beer, wine and spirit glasses etc would need to be provided by the Organizing Committee. 

Peter Robinson advised that he had secured a Donation of cider from Nallys Invercargill Brewery. This will be made available on the bus trips. There also may have some sponsorship from the ILT at the Kelvin assembly.

Ann Maree Robinson to organize the provision of table-cloths and candles for tables for the Saturday formal meal.
 

13.    Next and final meeting 7 pm Sunday 1 February 2009 at Tony McGowan’s office.
